A flowchart is useful only if someone can follow it without asking you what it means. Most confusing diagrams have the same problems: too many boxes, vague step names, decisions without answers and arrows that cross everywhere. These rules fix them.

Write one sentence about what the reader should understand, such as how an order moves from payment to delivery. Leave out every step that does not help with that sentence.
If you need to show two different things, draw two diagrams. One diagram with 40 boxes is harder to read than two with 12.
Begin at a single starting point and let the flow move in one direction, usually left to right or top to bottom. Readers expect time to move that way.
Name each step with a verb and an object, such as Check stock or Send receipt. Short names fit in the box; details belong in a note.
A decision is a question with answers, drawn as a diamond. Every arrow leaving it needs a label such as Yes, No or Over 5,000.
If a decision has more than three answers, it is often clearer as a short table next to the diagram.
Swimlanes group steps by person, team or system. They answer the most common question about a process: whose job is this step?
Keep lanes in a sensible order, for example customer, then shop, then delivery, so arrows cross as few lanes as possible.
Real processes fail: a card is declined, a form is incomplete, a server times out. Draw these paths in a different style, such as dashed lines, so the main path stays easy to see.
A diagram that only shows the happy path hides the parts people most need to understand.
Follow every arrow from the start with a real example. Look for boxes with no arrows, decisions with a missing answer and loops that never end. Then ask someone else to explain the diagram back to you.
Keep to a few: a rounded box or person for the start, rectangles for steps, diamonds for decisions and a cylinder for stored data. Using the same shape for the same kind of thing matters more than the exact symbols.
Once a diagram passes about 15 to 20 boxes, readers start to lose the thread. Split it into an overview and separate detail diagrams.
Yes. DiagramForge draws a flowchart with lanes, labelled decisions and failure paths from one sentence, and you can drag and edit every box for free. Drawing costs 1 credit and guests get 2 free credits every day.
Use PNG for slides and chats, SVG when it needs to stay sharp or be edited in design tools, and Mermaid code for GitHub, Notion or documentation.
